This page explains how POLDUX handles information when you use our invoice tracking and customer follow-up service. It is a general service notice, not legal advice. Before relying on it as a final legal policy, the service operator should add its full legal name and address and review the policy for the laws that apply to its business and customers.
1. Information we handle
Account information: name, email address, authentication details, and account settings.
Business and invoice information: business settings, invoice numbers, customer names and email addresses, amounts, currencies, issue and due dates, notes, and invoice status that you choose to enter or import.
Messages: reminder drafts and saved messages, email delivery status, and customer replies processed through enabled inbound email features.
Technical information: limited service, security, and error logs needed to operate, protect, and troubleshoot POLDUX.
2. How information is used
We use this information to provide your account, store and display invoices, generate reminder drafts, send messages you authorize, receive and classify customer replies when inbound email is configured, enforce plan limits, protect the service, and provide support.
AI-generated categories and summaries are suggestions only. They do not independently verify payment, resolve disputes, or change an invoice to paid.
3. AI and service providers
When you request AI features, relevant text such as invoice details, reminder context, or a customer reply may be sent to the configured AI provider to generate a draft or classification. Email content is processed by the email delivery/receiving provider when those features are used. The current implementation uses NVIDIA's AI service and Resend for email. These providers process data under their own service terms and privacy practices.
Do not enter sensitive personal information that is not needed to manage an invoice. Provider locations and processing may be outside your country.
4. Sharing
We do not make your invoice ledger public. Data may be processed by service providers necessary to run POLDUX, disclosed to you where required by law, or shared when necessary to protect rights, security, or the service. We do not sell personal information as a business model.
5. Retention and security
We retain account and invoice information while needed to provide the service and for legitimate operational, security, and legal purposes. Specific deletion and backup periods depend on the system configuration. We use access controls and account-level data scoping, but no online service can promise absolute security.
6. Your choices and requests
Keep your account credentials private and enter only information you are entitled to process. To ask about access, correction, export, or deletion of your information, contact hello@poldux.com. We may need to verify your identity and may retain some records where law or security requires it.
7. Children and changes
POLDUX is a business tool and is not designed for children under 18. We may update this policy as the service changes; the updated date above will change when the policy is revised.
Operator disclosure to complete before public launch: add the operator's full legal name, business/contact address, applicable privacy contact, and any legally required jurisdiction-specific disclosures.
